InspectKeeper is run by Alex Kay, an individual established in the Socialist Republic of Vietnam. Questions, requests and complaints about your data go to [email protected]. A postal address is available on request.
What we keep, and why
Your account
Your email address. If you sign in with Google, Google tells us your email address and nothing else we store. If you invite someone to your team, we keep their email address and the invite until it is accepted, revoked or expires after 7 days.
Your buildings and equipment
What you enter: team name, building names, addresses, time zones and check codes, each piece of equipment with its location and schedule, the dates you track, and service visits with the company, technician and license number you type in. We keep this to run the service for you and your team.
Checks logged at a tag
When someone scans a tag and logs a check, we keep the name they type, their answers, any note and photo, the time, and the IP address the check came from. The IP address is there to make the record trustworthy and to stop abuse; it is shown only to the building's team. These records are the inspection log you keep for your fire inspector or insurer, so they stay until you delete the equipment's building or your account.
The public page behind a tag shows the equipment's status, the last 12 months of checks with each name shortened (Maria Gonzalez becomes Maria G.), and the latest service visit of each type with the company, license number and next due date. It never shows full names, notes, photos, IP addresses or technicians' names.
Messages to us
When you write to us from the Feedback page, we keep your messages, our answers and any screenshots you attach, so the conversation stays in one place.
Cookies and browser storage
One cookie keeps you signed in for your visit, and a second keeps you signed in for up to 30 days unless you sign out. Signing in with Google sets a third cookie for 10 minutes to protect that step. On a tag page, the name you type is remembered in a cookie on your phone for a year, so you do not type it again. There are no advertising cookies, and nothing tracks you across sites.
We count visits with Trafnova, analytics we run ourselves. It sets no cookies. It keeps the page and its title, the referring site, screen size, language, browser and device type, and a location (country, region, city) worked out from the IP address. The IP address itself is not stored: visits are counted by a one-way hash of it with the browser, salted afresh every day, so a visitor cannot be followed from one day to the next.
Who else handles data
- Serverel, which hosts our server in the Netherlands, where the database and photos live.
- Cloudflare, which sits in front of inspectkeeper.com to deliver it and keep attacks out, so every request passes through it, IP address included.
- Maileroo, which delivers our emails (sign-in links, invites, problem alerts, weekly summaries, replies to your messages), so it sees the recipient and the message.
- Trafnova, our own analytics service on our own server, for the visit counts above.
- Google, which handles the sign-in if you choose "Continue with Google".
- Telegram, through which we get a short notice when you write to us (your email address, the subject and the start of the message).
Error reports go to our own error tracker on our own server. We do not sell data, show ads, or share data with anyone else unless the law requires it.
Your rights
You can ask for a copy of your data, have it corrected, or have your account and everything in it deleted: write to [email protected] from the address on the account. You can also download each building's inspection log as a PDF at any time. Deleting a building in the app deletes its equipment and every record. We answer requests within 30 days. If you are in the EU or the UK, you can also complain to your data protection authority.
If you logged a check at someone else's tag and want your name removed, write to us or to the building's manager; the record belongs to the building's team.
Changes
When this policy changes, the date at the top changes with it. If a change affects how we use data you already gave us, account holders get an email first.
